Job Description
KEY RESPONSIBILITIES
Accounts Payable & Financial Administration (NetSuite)
Calculate, prepare, and process bills, invoices, accounts, budgets, and other financial records in accordance with established procedures.
Code, total, batch, enter, verify, and reconcile transactions such as accounts payable, purchase orders, invoices, cheques, and cheque requisitions in NetSuite ERP.
Reconcile bank statements and financial records to ensure accuracy.
Prepare inventory reports, account statements, month-end reports, and financial summaries as required.
Assist in budget tracking and forecasting by maintaining organized records and reports.
Maintain confidentiality in handling financial and employee records.
Payroll Administration (ADP Workforce Now) & Employee Support
Perform payroll duties on an as-needed basis to support operational continuity including processing bi-weekly payroll using ADP Workforce Now, ensuring compliance with federal and provincial payroll regulations.
Verify payroll records, tax deductions, benefit calculations, and vacation accruals.
Assist with new employee onboarding, including document collection, tax forms, and ADP system setup.
Support offboarding tasks, including processing final pay calculations and maintaining accurate records.
Administrative & Organizational Support for Other Departments
Provide general administrative support to multiple resort departments, ensuring smooth daily operations.
Assist with document organization, scheduling, and workflow coordination to improve efficiency.
Maintain and organize files, ensuring proper version control in SharePoint.
Support internal and external stakeholder communications, responding to inquiries professionally.
Assist with cross-training across other finance and administrative roles to enhance team flexibility.
Perform clerical duties, including word processing, document preparation, faxing, and photocopying.
Operational Support (Up to 16 Hours Per Week, As Required)
Provide front and back end operational coverage as needed (up to 16 hours per week), ensuring smooth resort operations.
Assist in guest services, retail, or other operational areas as necessary.
Act as a key liaison between administrative functions and cross departmental operations to enhance communication and efficiency.

QUALIFICATIONS & SKILLS
Diploma or certificate in business administration, accounting, or a related field (or equivalent work experience).
2+ years of experience in an administrative, accounting, or payroll role.
Proficiency in NetSuite ERP for accounts payable processing and financial reporting required.
Experience using ADP Workforce Now for payroll processing and HR functions an asset.
Strong Microsoft Excel skills, including formulas, data analysis, and financial reporting.
Experience using SharePoint for document management and workflow collaboration required.
Knowledge of payroll legislation, labor standards, and financial reporting practices in British Columbia.
Excellent organizational and multitasking abilities with strong attention to detail.
Strong communication and interpersonal skills to collaborate with multiple departments.
Ability to work independently while supporting broader organizational goals.
